Columbia Sportswear Company Receptionist (Part-Time) in Carlsbad, California
Overview of the Position:
The successful part-time Receptionist is a highly valued role serving as the Ambassador of First Impressions for prAna. The position is also part of prAna’s Office and Administrative Services Team and a representative/extension of prAna’s company culture. The position answers all in-bound phone calls and email correspondence and directs this communication to the appropriate person or department and personally greets all visitors and employees entering prAna’s main office. In addition, s/he helps maintain the appearance of prAna’s lobby and general public area on the first floor, and performs various administrative tasks. This position interacts with a diverse group of guests, customers, and employees at levels of the organization.
The ideal candidate has a positive disposition, friendly communication style, a service-oriented mindset and approach, multi-tasking capabilities, organizational skills and professionalism balanced with the playful and adventurous spirit aligned with the prAna company culture.
In addition, the ideal candidate will be able to work a schedule that that includes mid-day coverage for minimum of 2 hours up to 4 hours per day, Monday through Friday, and be available for additional hours to cover for vacations and sick days. Schedule options, with some flexibility, are:
Monday through Friday, at minimum 2 hours per day: 12 pm to 2 pm or 11:30-1:30 pm.
Optimal with some flexibility would be Monday through Friday up to 4 hours each day with required coverage window from 12 pm to 1 pm.
Essential Functions and Responsibilities:
Cheerfully and professionally answer and assist all incoming callers, and route phone calls to appropriate person or department; prioritize large call volumes of the company’s multi-line phone system
Cheerfully and professionally welcome visitors, guests and employees upon entering the office
Receive and route general inbound emails to appropriate departments and employees
Utilize and properly maintain prAna’s Visitor Management System to properly account for visiting guests, vendors, contractors, customers, candidates, etc.
Maintain the reception area, including opening and closing the building on time, locking doors, turning off lights, and generally keeping tidy and welcoming for employees and visitors (as needed)
Prepare email communications, memos, correspondence, and other documents when requested by Executive and/or Culture and People teams
Perform a variety of clerical duties including but not limited to mail sorting, paycheck distribution, and maintaining office supply inventories
Assist with ordering and maintaining all office supplies needed for daily business operations in coordination with administrative team
Assist with ordering and setting up food/catering for meetings and special events
Cross-train with full-time Administrative/Front desk team member and be able to proficiently perform additional duties to cover for vacations and/or sick days (e.g. fitness / wellness scheduling)
Participate in prAna’s employee events and meetings, as schedule permits
Perform other duties, as assigned
Education and Experience Requirements:
Experience with multi-phone line system preferred but not required
Previous experience and general knowledge of office administrative procedures
Knowledge of use and operation of standard office equipment, as well as proficiency with MS Office (MS Outlook, Powerpoint, Word and Excel) is highly preferred
